Welcome to Sworkit: Client Admin Portal Onboarding Guide

Welcome to your Sworkit Health Admin Portal! This guide will help you get started navigating your dashboard, pulling reports, tracking activations and engagement, creating challenges, and more.

Before you dive in, we recommend visiting our Client Portal for additional onboarding resources.


Reports Overview

The Admin Portal provides multiple reporting options to help you measure success and track member activity. Reports can be exported as CSV files for detailed analysis or as PNG images for quick snapshots.


Dashboard Reports

On your main dashboard, you can view and export the following:

  • Activations: Total number of users (enrolled) who have signed up for Sworkit out of your eligible employee population. ​Note: This is a cumulative metric and will not be adjusted by date filters.

  • Engagement: Number of members actively participating in Sworkit during the selected timeframe. Engagement includes actions such as completing workouts, reading articles, tracking steps, or joining challenges. Note: This percentage reflects the proportion of engaged members out of all enrolled members (activation) at that time.

  • Daily Usage: Number of workouts completed each day within your chosen timeframe.

  • Top Categories: Most popular workout categories (e.g., strength, yoga, cardio), showing what types of movement your employees choose most often.

  • Most Popular Workouts: Specific workouts your members complete most frequently in the selected date range.

  • Active Members Report: Detailed activity breakdown for all active members, including:

    • Active days

    • Total sessions and workouts

    • Meditations and assessments completed

    • Articles read (content views)

    • Workout minutes (tracked in Sworkit, synced from devices, or manually added)

    • Meditation, assessment, and article minutes

    • Steps and distance

  • Note: This information is identical to what you’ll find in the “Members Report.”

Use the calendar icon in the top right of the dashboard to apply custom date filters for your reports.


Group Reports

If your organization uses groups (such as departments, office locations, or regions), you can view performance by group. Groups can be added manually with your Client Success Contact or through your eligibility file.

These reports follow the same format as the main dashboard but are segmented by the group categories you define.


Member Reports

The Member Report provides the same detailed activity data as the Active Members section of your dashboard. You can filter the data by selected date ranges using the calendar icon.

Metrics available include:

  • Active days

  • Sessions completed

  • Total workouts

  • Meditations and assessments

  • Articles read

  • Minutes tracked across workouts, meditations, assessments, and articles

  • Steps and distance

Data may come from workouts completed directly in Sworkit, synced via compatible devices, or manually logged by members.


My Organization

The My Organization section of your Admin Portal allows you to manage your members, admin access, eligibility files, sign-up methods, challenges, and organizational settings.

Manage Members

From this page, you can:

  • View your activation and enrollment numbers

  • Access your unique invite link

The member management process varies depending on how your employees sign up:

Eligibility File

If your organization uses eligibility file verification, you can upload a new file by:

  1. Navigating to Eligibility File

  2. Clicking the orange plus (+) button in the top right

  3. Selecting Upload and importing your CSV file

This page will also display your organization’s custom landing page URL, which can be shared with employees for sign-up.

File format requirements:

  • Must be uploaded in CSV format

  • Headers must follow this order:

    • First Name

    • Last Name

    • Email and/or ID

    • Department (optional)

Self Sign-Up Code

If you use a self sign-up code, you can:

  • Add members by clicking the orange plus (+) under “All members”

  • Remove members by selecting a member and clicking the red 'Remove from Organization' box

Your custom code URL is also listed here as the invite link for employees.

Sworkit Email Invite

This method works the same way as self sign-up, with an additional option:

  • Resend invitations from the Pending tab by selecting a member and clicking Resend Invite

Organization Details

This section allows you to view your organization’s privacy and reporting settings. For changes or questions, please contact your assigned Client Success Manager.

Challenges

From the Challenges section, you can:

  • Build new challenges for your company

  • View past challenges

  • Pull reports on challenge activity

To export challenge data:

  1. Select the challenge

  2. Left-click

  3. Choose Download Stats to export the CSV report

Preparing to Renew your Sworkit Contract
We suggest marking your calendar for 60 days prior to your renewal. That way, you can connect with your Client Success Team and assigned Account Executive with enough time!
